Project Administrator

Phoenix, AZ

System One is currently seeking a Project Administrator on a contract position located in Phoenix, AZ.

The Project Coordinator will receive general direction from the Director of Construction and will support the needs of 10-12 Project Managers. You will have considerable latitude and initiative in executing those directions while understanding the sense of urgency as it applies to construction projects.

Project Administrator Responsibilities:

  • Assist and take ownership in construction project administration functions during development and implementation
  • Cost management support including monthly reporting, purchase orders, invoice processing for vendors, job cost adjustments and prepare pay applications
  • Monitoring the Subcontractor Qualification internal flow process for the construction team to ensure timely approvals and review insurance documentation for completeness for subcontractors and vendors
  • Assist project managers with contract management activities with Subcontractors and Vendors and ensuring compliance
  • General project document control and manage including setting up binders and documents for development and production of O&M manuals
  • Filing, assisting with rebate applications and archiving project documents
  • Reproduce project and design documents and assisting with various administration needs of Project Managers
  • Communicate and coordinate among project management staff in various locations throughout the West and Midwest
  • Assist with office management activities including ordering supplies as well as on project sites

Project Administrator Requirements:

  • Bachelor's degree and 4 years of experience or and Associates degree and 6 years of experience
  • Expertise in preparing and working with general and complex Excel spreadsheets/workbooks
  • Ability to read, write and comprehend applicable written and/or oral instructions
  • Develop and assist with written communications and correspondence as needed
  • Understand how to coordinate project planning meetings with internal and external user groups
  • Have the ability to review costs based on current construction budgets and data
  • Work on special projects inclusive of process improvement for construction group inclusive forms, documents, and procedures
  • Possess an understanding of construction terminology
  • Possess knowledge of accounting and budget processes
  • Excellent time management and superior organizational skills required
  • Ability to work under pressure
  • Experience in engineering, construction or manufacturing environment a plus.
  • Proficiency in Microsoft Word, Excel, PowerPoint, graphics, data manipulation and search software
  • Experience working with Newforma Document Management System a plus
  • Ability to work 40+ hours per week with possibility of occasional travel to a jobsite to provide onsite assistance

Duration: 12 months

Location: Denver, CO

Pay Rate: $16.00-$18.00/Hr
